The Client Portal

Give clients their own page to follow jobs, confirm appointments, accept quotes and pay invoices

The client portal is a private page where a client can see their own work with you: what's booked, what's been done, and what's owing. It cuts down the "just checking where things are at" calls, and it gives them somewhere to accept a quote or pay an invoice without hunting for the original email.

Each client gets their own portal. They only ever see their own jobs.

Turning it on

Open the client and switch Client Portal on. That creates the portal, and Copy Portal Link gives you the address to send them.

Set up on the web

Turning the portal on and inviting contacts is done on the web. Once it's on, the Show on portal tick on job photos and documents works from the phone app too.

Inviting the people who should see it

The portal is switched on for the client, but access is per contact, so you decide who gets in. On any contact with an email address, choose Invite to portal. They get a branded invitation with a Sign in to Portal button, and a Portal badge appears against their name once they're active.

To take someone's access away later, revoke it on the contact. Their access stops immediately.

How your client signs in

There's no password and no account to create. Your client enters their email address on the portal page and gets a sign-in link emailed to them. The link lasts six hours; if it expires, they just request another from the same page.

Only email addresses you hold on that client's contacts will work, so a forwarded link doesn't let a stranger in.

What your client sees

  • Upcoming appointments, which they can confirm, or ask to reschedule or cancel. Requests come back to you rather than changing your schedule.
  • Their jobs, as a list they can open to see that job's appointments, quotes, invoices, forms, photos and documents. Addresses only appear for clients with work at more than one site.
  • Quotes, which they can read, download and accept or decline with a signature. See Online Quote Acceptance.
  • Invoices, showing what's been paid and what's still owing, with a card payment button when online payments are set up.

What stays private

The portal never shows your internal working. Draft quotes and draft invoices are hidden until you issue them, as are cancelled quotes; your costs, margins, tasks, timesheets and internal notes never appear at all.

Photos and documents are the one thing you choose case by case: a job photo or file only reaches the portal if Show on portal is ticked on it, so site photos you took for your own records stay yours.

Have a look yourself first

While you're logged in to Teamsmith you can open any client's portal link and see exactly what they see. It's read-only for you, so you can't accept a quote or pay an invoice on their behalf by accident.
